The AI you can actually use is capped by the systems you already have. Most "AI for small business" products are a prompt and a form on top of somebody else's model — sometimes that's genuinely all you need, sometimes it's $200 a month for something you could do in a browser tab. I've built both kinds. That's how I tell them apart.

Before you spend anything

How you'd know you're ready.

Count how many of these are true. Under four and level two is going to fight you. Under two and you're better off spending the money on the underlying systems first — I'll tell you that rather than take the work.

  • Your customer data lives in one place, not four
  • You could export a list of every job from the last year
  • Pricing follows rules someone else could apply
  • At least a few processes are written down somewhere
  • Somebody other than you can answer most customer questions
  • You know roughly how many inquiries you get a month
  • Your tools can talk to each other, or could be made to
  • There's a task you do weekly that you could describe in ten steps
